Job Purpose
The position is responsible for coordinating the organisation's Food Pantry program, ensuring that vulnerable community members living in the EMR receive food and other essential items through a culturally appropriate service. The program is also critical to engaging community members and linking them into additional organisational programs and services that can meet their other cultural, social, economic, and spiritual needs. The Pantry Coordinator is supported by an Assistant and is responsible for managing a team of volunteers to ensure the effective and efficient delivery of the program.
Key Responsibilities
• Work with the Operations Manager to ensure the Food Pantry program is delivered in ways that meet community needs and funding guidelines.
• Recruit volunteers, maintain the volunteer register and coordinate volunteers
• Produce regular communications about the pantry, including promotional material for community members and other key stakeholders
• Build, maintain and nurture relationships with program participants
• Collect relevant participant information and it is routinely recorded on the participant register
• Maintain current COVID safe plan and Food Pantry policy
• Order and collect supplies to ensure the pantry stock levels are maintained
• Ensure COVID Safe practices are developed, implemented, and monitored
• Report on program performance to the Operations Manager
• Work with the Assistant and volunteers to develop a working environment that reflects organisational values and complies with organisational policies.
• Develop and maintain positive relationships with internal and external stakeholders particularly funding bodies and service delivery partners
• Actively seek out and identify ways in which the pantry can be sustained over the long term
• Lead by example and contribute to building an organisational culture based on collaboration, program excellence and innovation
• Focus on continuous quality improvement to ensure service delivery to program participants, Elders and the Aboriginal community in the EMR is reflective of best practice.
• Adopt and apply OH&S policies and procedures including other COVID Safe requirements to ensure a safe work environment
Key Selection Criteria
Experience, Qualifications & Skills• Demonstrated understanding of the Victorian Aboriginal community and the ability to communicate effectively with Aboriginal people at all levels
• Understanding of the specific cultural and historical issues that impact on Aboriginal clients, particularly in response to intergenerational trauma and the Stolen Generations
• A minimum qualification of Cert III in Community Development or similar is highly desirable
• Experience in supporting volunteers and managing volunteer rosters
• Commitment to teamwork and the maintenance of a supportive work environment
• Good program management skills including the and/or experience in developing, implementing, managing budgets and reporting on program success
• An understanding of how to establish effective and positive relationships with government contract managers and relevant staff
• Well demonstrated stakeholder management and negotiation skills
• Well-developed organizational skills including ability to prioritize, complete tasks, respond to requests on time, and pay attention to detail
• Demonstrated experience in event coordination, promotion, and marketing.
• The ability to maintain, identify and develop partnerships and collaborations.
• Ability to identify risks and develop suitable resolutions
• Ability to write or contribute to grant applications
• Ability to represent the organisation at various stakeholder meetings as required
• Sound written communication skills in the preparation of correspondence and basic reports.
• Well-developed computer and keyboard skills, including sound familiarity with Windows based software and demonstrated ability to learn and use purpose-designed database programs as required
Required• Experience in successfully managing a small team
• A current first aid certificate or willingness to obtain once employed
• A current or willingness to obtain a Working with Children Check and Police Check
• A current Victorian Driver’s License
• Available to work flexible hours including weekends, school holidays and afterhours where required
