Position Purpose
The Project Manager is responsible for coordinating, delivering, and monitoring Our funded programs and organisational projects. The role ensures that project activity is planned, delivered, and monitored in accordance with contractual requirements, government expectations, and internal governance processes. It provides a structured and accountable approach to project management, with emphasis on compliance, evidence collection, risk identification, and timely reporting.
The position strengthens Our capacity to deliver accountable, consistent, and high-quality outcomes that support Aboriginal business growth across Victoria.

Key Responsibilities
 
  1. Project Planning and Coordination
  • Plan and coordinate project activity so that all work is sequenced, resourced, and delivered in accordance with Our strategic objectives and operational priorities.
  • Develop project schedules, work breakdown structures, and milestones.
  • Maintain project documentation and ensure that changes, risks, and issues are recorded and addressed.
  • Use appropriate project management software and tools, including Grant charts, digital dashboards, and scheduling software to track timelines, budgets, and deliverables.
  • Coordinate delivery across internal teams, contractors, and delivery partners to ensure timely and accurate execution of activities.
 
  1. Grant and Compliance Management
  • Maintain structured systems for compliance, documentation, and evidence collection.
  • Ensure 100 percent adherence to all reporting, audit, and evidence requirements under all funding agreements.
  • Track deliverables, milestones, budgets, obligations, and performance measures to ensure full compliance with contractual requirements.
  • Maintain organised records that support audits, evaluations, and financial accountability.
 
  1. Reporting, Monitoring, and Evaluation
  • Prepare weekly progress updates for the Chief Executive Officer, outlining achievements, risks, issues, and emerging considerations.
  • Participate in monthly meetings with Government funding bosies to present updates, respond to questions, and ensure shared understanding of progress and compliance.
  • Prepare monthly, quarterly, and annual reports that meet reporting requirements and internal standards.
  • Collect, analyse, and interpret quantitative and qualitative data to support milestone-based evaluation, KPI reporting, and impact assessments.
  • Coordinate stakeholder feedback surveys and integrate findings into evaluation reports.
  • Maintain real time dashboards and evidence logs to ensure accurate performance tracking.
 
  1. Stakeholder and Partner Engagement
  • Engage with the Government, Aboriginal businesses, and delivery partners to facilitate timely and accurate communication.
  • Ensure that all engagement and communication activity supports Our strategic objectives and reflects the organisation’s priorities in policy, advocacy, and economic development.
  • Build strong working relationships with Aboriginal businesses, delivery partners, and community stakeholders.
  • Support clear and timely communication across Our teams to ensure alignment.
 
  1. Systems and Organisational Support
  • Maintain project management tools, dashboards, templates, and evidence repositories.
  • Strengthen internal systems by standardising documentation and processes.
  • Contribute to continuous improvement, including lessons learned, process refinement, and operational enhancements.
  • Provide operational insights to executive leadership to support strategic planning and decision-making.
 
  1. Risk and Issue Management
  • Identify matters that may affect delivery timeframes or compliance and bring them to the attention of the Operations Manager or Chief Executive Officer.
  • Keep accurate records of any issues that arise and the steps taken to resolve them.


Key Selection Criteria

Essential
  • Demonstrated experience managing complex projects in government, business, community, or not-for-profit contexts.
  • Demonstrated experience using structured project management tools, including Gantt charts, digital dashboards, milestone tracking systems, and project scheduling software.
  • Proven experience delivering high quality project documentation and reports, supported by clear evidence.
  • Strong communication and relationship-building skills, including confidence presenting to senior stakeholders and funding bodies.
  • Ability to manage compliance obligations, budgets evidence requirements and contractual commitments.
  • Demonstrated ability to work respectfully and effectively with Aboriginal and Torres Strait Islander peoples.
  • High level of organisation, time management, and attention to detail.
  • Ability to manage multiple projects at different stages of their lifecycle

Desirable
  • Qualifications in project management, business, community development, or related fields.
  • Experience working within Indigenous-led organisations or government funded programs.
